AgentCrafty provides AI phone agents, chat, routing, booking, SMS, and customer communication tools for businesses. This policy explains how we handle information when businesses and their customers use AgentCrafty.

This policy is provided for transparency and operational readiness. It is not legal advice. Businesses using AgentCrafty are responsible for confirming that their use complies with the laws, consent rules, and industry requirements that apply to them.

Who This Policy Covers

This policy covers AgentCrafty account owners, workspace users, visitors to our website, callers, chat users, SMS recipients, and other people whose information is processed through a business workspace.

When a business uses AgentCrafty to communicate with its own customers, that business controls the customer relationship and is responsible for the information it chooses to collect, configure, upload, or send through the service.

Information We Collect

We may collect account information such as name, business name, legal name, email address, phone number, billing plan, team roles, login details, and workspace settings.

We may process communication information such as caller phone numbers, chat messages, SMS messages, call metadata, call recordings when enabled, transcripts, summaries, routing decisions, booking details, uploaded or linked knowledge sources, agent prompts, action payloads, and customer requests.

We may collect technical information such as device, browser, IP address, logs, error reports, authentication events, usage data, and security signals.

We may process payment and billing information through payment providers such as Stripe. AgentCrafty does not store full card numbers.

AI Processing

AgentCrafty uses AI and communications providers to operate voice agents, generate responses, transcribe calls, summarize conversations, route requests, and prepare customer follow-up. Information submitted to an AI agent may be sent to those providers so the service can work.

AI outputs can be incomplete, inaccurate, or inappropriate for a particular situation. Businesses are responsible for configuring their agents, reviewing important outputs, and using human review where required.

Call Recording And Transcripts

Calls may be recorded, transcribed, summarized, or analyzed when a workspace enables those features or when required to operate the service. Recording laws vary by location. Businesses are responsible for providing any required notice and obtaining any required consent before recording or transcribing calls.

Call recordings, transcripts, and summaries may contain personal information. Businesses should avoid collecting sensitive information unless it is needed for their lawful workflow.

How We Use Information

We use information to provide and improve the service, authenticate users, operate AI agents, route calls, send requested communications, support bookings, process payments, troubleshoot issues, protect against abuse, enforce our terms, and maintain business records.

We may use aggregated or de-identified information to understand usage, improve reliability, and develop product features.

SMS Consent And Mobile Numbers

Mobile phone numbers and SMS consent are used only for the customer communication program selected by the business, such as appointment confirmations, booking updates, service reminders, verification, support, and customer-requested follow-up.

Text messaging originator opt-in data and consent will not be shared with any third parties for their marketing purposes. SMS consent is not sold, rented, or transferred.

Message frequency may vary. Message and data rates may apply. Customers can reply STOP to opt out and HELP for help. Carriers are not liable for delayed or undelivered messages.

Sharing Information

We may share information with service providers that help operate AgentCrafty, including cloud hosting, communications, telephony, AI, transcription, email, scheduling, payment, analytics, security, and customer support providers.

We may disclose information when required by law, legal process, security needs, fraud prevention, enforcement of our terms, protection of rights and safety, or in connection with a business transfer.

Sensitive And Regulated Information

AgentCrafty is not intended to replace professional medical, legal, financial, emergency, or safety advice. Businesses must not configure agents to collect or provide regulated advice unless they have confirmed that their use is lawful and properly supervised.

AgentCrafty is not offered as a HIPAA-compliant service unless a separate written agreement states otherwise. Do not use AgentCrafty to process protected health information where a business associate agreement or similar regulated arrangement is required.

Retention

We keep information for as long as needed to provide the service, support the workspace, comply with legal obligations, resolve disputes, prevent abuse, collect fees, and maintain business records. Businesses may configure or request deletion of certain information where available and lawful.

Security

We use administrative, technical, and organizational safeguards designed to protect information. No system is completely secure, and businesses are responsible for protecting their account credentials, team access, connected systems, and webhook endpoints.

Cookies And Similar Technologies

We may use cookies, local storage, and similar technologies to keep users signed in, remember preferences, secure sessions, measure usage, and improve the service.

Children

AgentCrafty is not directed to children under 13. Businesses must not use the service to knowingly collect information from children unless they have the legal authority and required consents to do so.

Your Choices

Customers can opt out of SMS messages by replying STOP. Customers can request help by replying HELP or contacting the business directly. Account users may contact AgentCrafty to request access, correction, export, or deletion where applicable.
